Printing on Campus

Information Technology is implementing a plan based on a SUNY system-wide initiative to reduce cost, waste and paper that will simplify the printer fleet and secure and optimize the print environment. This initiative will help standardize and consolidate the number and type of devices we use when we print, scan and copy. SUNY’s objectives are to reduce operating and maintenance costs as well as inspire a cultural shift towards a more efficient use of all output devices.

Printing to the Pharos Secure Printer

To use the Pharos Secure Printer installed on your computer to print your documents:

  1. Open the document or webpage you would like to print

  2. Select the Print option from your application or browser

  3. Follow the Authenticating and Release Your Print Job instructions below to retrieve your print job

NOTE: We suggest setting the Pharos Secure Printer as your default printer on your personal computer.

Authenticating and Releasing Your Print Jobs

All users must authenticate at the physical printer before any print jobs can be released and printed. 

There are two ways to authenticate at the printer:

  1. Tap your Farmingdale ID card on the printer’s “ID Card” sticker

  2. Enter your system-generated passcode by interacting with the LED screen at the printer

Once you have authenticated at the printer, you can choose to Print All of your pending documents or you can choose Review Documents to selectively print individual documents or delete duplicate/unneeded documents.

What is Pharos?

Pharos is Farmingdale's secure printing management system.  By using Pharos, you can print to and securely release your print jobs at any printer on campus.  Documents printed to Pharos will remain in the queue for 2 days before they are automatically deleted.

Print Setup for Pharos Sentry Secure Print

The Pharos Sentry Print System is software installed on campus computers, that works with the campus printers to provide secure printing from anywhere to any campus printer, regardless of location.


Pharos Sentry First Time Print Setup

  1. Access the Pharos Sentry Print Setup Application on your office PC.

    Search for the Pharos Sentry Print Setup application from the start menu (located in the lower left hand corner of your computer screen).

  2. From the Sentry Print Application Click Login to Continue.

  3. You will then be prompted to login with your Farmingdale email credentials via your web browser.
    Please note: If you are already logged into your Microsoft 365 account or applications, you may not need to provide your credentials again.

  4. After successful authentication, a confirmation page will be displayed. You can now close this browser window.

  5. After closing the web browser, return to the Pharos Sentry Print Setup Application. You will be provided your unique passcode for use on the Farmingdale printer fleet.

Please Note:

  • This passcode is unique to you, please do not share this passcode with anyone.
  • You will also receive an email from Pharos Cloud containing your unique passcode for your records.

You will need this passcode to complete the registration at the printer.

  1. At the Print Sentry Application, Click Continue to complete the configuration for proximity card configuration to use your ID card to print at any printer.

  2. Select the proximity card option, and follow prompts to configure the proximity card.

  3. Click the Start option to continue.

  4. Click Print Test Page.

  5. Select the Pharos Secure Printer and click Print.
    You will now be able to register your card and release the print job at the printer using your ID card.

    Please note, you will need your 6-character alpha numeric code for the next steps at the printer.

    The following steps will be completed on the front panel of the printer. The configuration steps will only need to be completed once per card.

  6. At the printer, tap your access badge to sign into the printer.

  7. You will then be prompted to login using your 6-character alpha-numeric passcode that was given to you during the Pharos Sentry Print Setup application.

  8. Once you have logged in, you will now be able to use your ID card to access the Farmingdale printer fleet printers. You will not need to provide your passcode when using your ID card.

  9. To print your document, select Print All.

What if I get a new ID card?

If an employee has been issued a replacement ID card, the new card will need to be set up for secure printing from anywhere to any campus printer, regardless of location.

I know my passcode

  1. At the printer, tap your ID card to sign into the printer.

  2. You will then be prompted to login using your 6-character alpha-numeric passcode that was given to you during the Pharos Sentry Print Setup application.

  3. Once you have logged in, you will now be able to use your ID card to access the Farmingdale printer fleet printers. You will not need to provide your passcode when using your ID card.

  4. To print your document, select Print All.

I need a new passcode

  1. Access the Pharos Sentry Print Setup Application on your office PC.
    On your computer, search for the Pharos Sentry Print Setup application from the start menu (located in the lower left hand corner of your computer screen).

  2.  Click on the silhouette icon that is located in the upper right hand corner of the 'Welcome to Sentry Print' window. 

  3.  Choose the 'Reset Passcode' option.

  4. At the Print Sentry Application, Click Continue to complete the configuration for proximity card configuration to use your ID card to print at any printer.

Using your Pharos Passcode or Farmingdale ID card to Release Print Jobs

In addition to using your Farmingdale ID card to release your Pharos print jobs, you can also use an assigned passcode. This passcode is automatically generated and tied to your individual Farmingdale account. Each passcode is unique to the individual and can be reset at any time through your Pharos Secure Release App on your workstation. 

What is my Passcode

Your passcode is a unique string of characters that has been generated and assigned to you through our Pharos secure print environment. This is an additional release method that has been configured within our environment and allows you to walk up to a secure printer anywhere on campus without your Farmingdale ID card and log in using your unique passcode. Each passcode is generated on your behalf and cannot be customized or set by you directly. When your Pharos account is created and you print for the first time, your passcode will automatically be emailed to you. Please save this email for future reference. If you have forgotten your passcode, please reference the section below to reset and generate a new passcode. 

Using your Passcode

Once you have your passcode, you can use it to release your jobs at the printer instead of using your Farmingdale ID. 

  1. Walk up to the printer you wish to release your job at.

  2. On the screen at the printer, choose Passcode Login

  3. Enter your passcode using the touch screen and choose Login.

  4. Once you are successfully logged in, you can now release your jobs.

Resetting your Passcode

Users can at any time reset their passcode and have Pharos Secure Print generate a new code.

  1. On your computer, open the Pharos Secure Release application by searching for it on your Windows device via the Start menu.

  2. Click on the hamburger menu icon in the upper right corner of the Pharos Secure Release window and choose Reset Passcode

  3. The Pharos Secure Release Setup Guide will automatically launch. If the guide prompts you to log in, log in with your Farmingdale email and password.

  4. Once you have successfully logged in, your new code will be displayed to you.

  5. You will also receive an email from Pharos with your new passcode. Please save this email for future reference.

Using your Farmingdale ID card

Once you have your Farmingale ID, you can use it to release your jobs at the physical printer instead of using your Passcode.  

  1. Walk up to the printer you wish to release your job at.

  2. Tap your Farmingdale ID card on the printer’s “ID Card” sticker

Registering your new Farmingdale ID

You can self-register your new Farmingdale ID card at any Pharos HP on campus. 

  1. Make sure you have signed into the Pharos Setup Guide on your computer and that you were given a 6-character passcode.

  2. Swipe your new Farmingdale ID card at the printer.

  3. Enter your 6-character Pharos passcode when prompted.

  4. Your new Farmingdale ID card is now tied to your account and may be used for future authentications.

Before You Start

The Pharos Secure Printer software should automatically be installed on any campus-owned computer. The Pharos Secure Printer sends your print jobs into a queue, it saves your print jobs in that queue for 2 days and then removes it once you select to release the job by visiting any printer on campus.

How to Print in Color?

To print in color you need to change the printing settings. Here’s how:

Chrome

  • Expand the “More settings” option in Chrome's print dialog box and scroll all the way down to the “Print using system dialog…” option.
  • In the pop-out window that appears, choose the Pharos Secure Printer and then the “Preferences” button (on Windows OS computers) to view many of the options that can be changed from the default.
  • Once the settings are changed, you can easily use these settings again if you save these settings as a saved “Profile:”

MacOS

  • The system dialog printing pop-up shows many options.
  • To print in color, select “Printer Options” and then look for the “Color Settings 1” section.
  • Change the Color Type from Mono to Color. Saving certain settings to use again can be done in the “Presets” section of the printer dialog box where you select “Save Current Settings as Preset.”

Microsoft Office (Windows)

  • The basic print dialog box will allow you to change the paper orientation and switch from Double-Sided to Single-sided printing (MacOS and Windows)
  • For Color printing or other advanced options, the “Printer Properties” option must be selected to access these settings (Windows).

How to Print a Document to the Bypass Tray?

To print from the bypass tray with Pharos use the following steps: 

  1. Select Bypass tray from the Print Settings option on your computer (if printing from a browser you will need to click on Preferences from the System Dialogue to bring up Print Settings) 
  2. Click Okay and click Print
  3. Go to the printer and load your paper into the bypass tray. 
  4. Sign in to the printer and release your job. The printer will make noises but nothing will come out. 
  5. Touch More Device Functions on the printer screen 
  6. Touch the blinking yellow Exclamation (!) mark in the upper right corner. Now you will see your job listed in the queue. It will say Skipped
  7. Select your Skipped job, then press the Print button at the bottom of the window.  
  8. On the next screen make sure the Bypass Feed is highlighted blue in the picture 
  9. Press the Green Button on the physical panel underneath the yellow one and your job should print from the bypass tray. 

Note that you need to complete these steps before the job times out of the local print queue or else you will need to send it again. 

My Print Job Never Printed After Bring Released, What Should I Do?

If your jobs are not being printed successfully and your job disappeared, please check the printer supplies information by following the section below. Once the underlying issue has been resolved, you will need to resend your job to the Pharos Secure Printer.

Please follow these steps to check these:

  1. Tap your Farmingdale ID card on the printer’s “ID Card” sticker or log in with your Passcode
  2. Press More Device Functions
  3. Press Job Status
  4. Press the Toner and Supply Tabs to confirm the printer has paper and toner.

If you can confirm the printer has paper and toner, but still cannot print, please reach out to the Helpdesk at 934-420-2754.

To Purchase Extra Print Credits if Quota is Exceeded

To buy additional print credits once your initial allocation is exceeded, you can either:

  • Go to the Greenley Library Reference Desk to pay using cash

OR

  • Buy print credits online using a credit card at: https://print.farmingdale.edu:9192
  • Click “Add Credit”
  • You can select the following amounts… $2, $5, $10, $15, $20 and click “Add value”
    (For other increments go to the Greenley Library Reference Desk)
  • Enter your credit information


Examples of printing costs:

To print a 20 page article of double-sided, you will need 10 sheets of b/w, which costs $1.00
To print 100 single-sided sheets of b/w printing costs $10.00
To print 5 color pages you will need 5 sheets for $2.50
