Central Receiving/Mail & Supply

Central Receiving

Central Receiving/Mail/Stores is a campus-operated facility whose primary goal is to provide services to the campus community through the following activities:                             

  • Receiving all goods from outside vendors
  • Shipping with return authorizations or prepaid labels
  • Delivery services of all goods received and general office supplies.
  • The recipient's name MUST be on the shipping label/envelope and listed in the campus directory for it to be delivered. Incoming shipments without this information will be returned to the sender the next business day. (NO EXCEPTIONS)
  • Central Receiving is NOT a pick-up facility for packages.

Central Mail/Central Receiving processes and redistributes incoming material for campus departments and resident students. Incoming material deliveries include but are not limited to UPS, U.S. Postal Service, FedEx, Amazon, and O. T. R. 

Delivery to a central location increases property accountability and customer satisfaction. It eliminates unnecessary vehicle traffic on campus, making the campus safer for students, faculty and staff.


Mail and Supply

The Mail and Supply Department receives goods from outside vendors. The department is responsible for keeping track of the dates the goods were received in a spreadsheet and logging or storing the packing slips in a secure location with the receipt date written on them. Farmingdale State College is registered with the United States Postal Service as a non-profit educational institution. Any abuse of private use of this service violates the law and could result in a loss of this privilege. The College retains the right to open and inspect all outgoing mail and packages to ascertain the appropriate use of our postal status. Personal use of our campus postage meter is strictly prohibited


Central Stores provides office supplies that are purchased on a repetitive basis by the campus community. Before ordering from another source, view the office supply list available at Central Stores. If the items are in stock, campus departments must complete the request for office supplies form and submit it by email. Once orders are received, items will be pulled and delivered. We aspire to complete orders within twenty-four (24) hours after receipt of the department request..

Central Receiving aims to deliver all incoming packages received before 11:30 a.m. to its final destination on the same day it is received. Items received after 11:30 a.m. will be delivered the next business day.

CENTRAL RECEIVING IS NOT A PICK-UP FACILITY

Exceptions:

  • Freight/packages requiring special delivery arrangements include perishable, refrigerated, frozen, and hazardous materials. Large items/quantities and large quantities may require assistance from Moving & Trucking.

RESIDENT STUDENT

  • Resident Student packages will be delivered to Res-Life and distributed to the Orchard Hall mail room (check hours of operation). Note the above package delivery procedure. 

Central Mail delivers all classified U.S. Mail providing the recipient is listed in the directory; all others will be "returned to sender."

Vendor Delivery Instructions

To ensure proper distribution, please have vendors mark all packages as follows:

  • PO Number
  • Purchaser's Name
  • Department Name
  • Farmingdale State College Central Receiving
  • All Packages delivered without a Purchase Order Number or NAME will be declared undeliverable and returned to sender.

Personal Packages

Central Receiving prohibits the use of resources for the delivery of personal material. If personal packages are received at Central Receiving, the recipient will be contacted and advised of the procedure for receiving personal property. Central Receiving or Farmingdale State College will not be responsible for delay, damage, or loss of personal items.

Incoming overnight freight must be addressed entirely and correctly. If information is incomplete, Central Receiving supervisors will try to locate the recipient before returning it to the sender.

If a shipment is unacceptable, the recipient may refuse the shipment and will have l make arrangements with the shipper to return the merchandise. Or complete an RMA form (return merchandise authorization).

All high-security items will be delivered the same day they are received and must be signed for by the designated person in the department. If large quantities or oversized items are ordered, please have ample storage space in your area. 

A delivery notice will be left if a delivery is attempted and a signature cannot be acquired. Packages will be redelivered the next business day. After the second delivery attempt, the recipient must call the warehouse at X2118 to make special arrangements for the pick-up or delivery of the items.


COD Packages

Central Receiving will only accept COD packages if the department has made special arrangements with Central Receiving. Otherwise, the goods will be returned to the sender.


Merchandise Return

Communicate with the company and advise the reason for the return. Have them issue a return merchandise authorization number (R. M. A.#). If the company is at fault, a request for shipping to be paid by them is possible. Confirm with them who is responsible for the shipping cost. A return label must be issued, or one may have been provided when the item was shipped. Confirm that the items will be either picked up or if they are to be shipped back.  

Complete the Return Request form, attach it to the package, and call Central Receiving X5597 or email pick-up.
