The focus of this year’s Records Management Awareness Month is Emails! Emails are essential to our daily work routines. However, many do not know how to properly manage, store, or destroy emails. The College has recently approved a College Email Policy, created an Email Management web page, and will be holding the first College-wide Biggest Loser Competition for email deletion.

New College Email Policy and Procedure
Expunging Your Deleted Emails
As of June 1, 2023, the Email Policy will go into effect, which sets forth the College’s new process for purging email messages that are in the “deleted items” folder in Outlook for 30 days. Email messages purged from the deleted items folder will be retained on FSC’s email server for an additional 30 days. After that, purged emails will be expunged automatically from the system. Account holders may immediately purge emails in the deleted folder by emptying the folder.
Biggest Loser Competition
Can You Delete the Most Emails?
During the month of April, the College will be holding its first ever Biggest Loser Competition.
Here’s how it works: At the end of March IT will capture email storage of each email account. On April 28th IT will capture email storage again. The person who deletes the highest amount of emails will win 1 Complimentary Ticket to the 2023 President's Gala and the person with the largest reduction of their overall mailbox size will win 2 Complimentary Cocktail Party on the Green Tickets at the 2023 FSC Golf Classic. All you have to do is sit back and hit DELETE.
Delete-Before-You-Eat-Wednesdays
To help remind you to delete your emails, each Wednesday during the month of April we will be holding Delete-Before-You-Eat-Wednesdays, where you are encouraged to spend the hour before lunch deleting messages from all the folders in your email account that are no longer needed.
